A managed community is not one drainage site. It is a gated entry, a spine road, forty driveways, two miles of sidewalk, a pool deck, a dumpster pad and a lot of common turf — all sharing one reserve line and one board vote. Here is how boards and property managers buy for the whole property on a single order instead of one work order at a time.

A community is nine drainage sites sharing one budget line

Walk a subdivision, a townhome community or a managed apartment property with a drainage eye and the architecture disappears. What is left is a set of unrelated surfaces sharing a parcel: an entry drive that is also the fire lane, resident driveways and aprons, walks and courtyards, a pool deck, a mail kiosk, a dumpster pad, roof leaders discharging onto turf, and the low corner behind building four that has been wet since 2009.

Uniformity is a rule here, not a preference. Most governing documents say the community will look consistent, and drainage hardware is the most-walked-over piece of that consistency. A sand grate replaced with a black one because it was the only thing in stock on a Friday is an easily avoided violation letter, and one-at-a-time replacement is exactly how a community that started as all-Gray Spee-D grates becomes a patchwork of four finishes inside a decade.

The money arrives on a calendar. Little here is bought when it breaks; it is bought when the annual budget or the reserve study says so. That argues for one consolidated order per cycle, with a parts count a board can approve, rather than a trickle of petty-cash purchases nobody tracks.

Responsibility is split, and rarely the way people assume. On a typical plat the association owns the common-area system and the private storm lines, the unit owner may or may not own the apron drain, and the municipality owns the street inlet outside the gate. Your CC&Rs, plat and any recorded stormwater maintenance agreement decide that, not us. What we can do is make sure whoever is buying gets the right part, in the right finish, the first time — which is why property managers and HOA boards across the country order from us.

Every surface inside the gate — and who actually owns the fix

The entry drive, gate approach and spine road

The most visible drainage on the property and the most heavily loaded. An entry that ponds is the first thing a prospective buyer sees, and a gate approach that holds water will ice, sink and eventually crack. This is trench-drain territory: a run cut across the drive ahead of the gate, piped to a basin and out. Load class matters more here than anywhere else, because the entry is also the moving-truck route, the refuse route and usually the fire lane — Class C 250 at minimum, Class D 400 (a 400 kN test load) wherever a loaded trash truck turns.

Resident-facing surfaces: drives, decks, walks and lots

Roof leaders, common turf and the low corners

Roof area is the largest single catchment on most communities and the one nobody counts. Leaders dumping at grade cut channels through mulch beds, undermine walks and drive water at foundations — see downspout drainage and yard and lawn drainage. The fix is almost always the same three parts: a catch basin at the low point, solid pipe on real fall, and a pop-up emitter or dry well at the discharge end.

Subsurface systems: genuinely part of this property, and not ours

Plenty of communities have real subsurface drainage, and pretending otherwise helps nobody. A french drain is perforated pipe bedded in washed stone and wrapped in filter fabric, trenched below grade to pull water out of saturated soil rather than off a surface. On a managed property they show up behind retaining walls, along building foundations, under soggy common turf and under amenity lawns and sports fields. They are installed by landscape and site contractors, and we do not sell perforated pipe, stone or fabric — that is contractor-installed territory. Nothing in our catalog is a french drain, and we will not describe it as one. What we do sell is the layer above: the surface collection points that intercept water before it reaches saturated soil, plus the basins, fittings and outlets that carry it away. Make that sequencing argument to a board — a subsurface system asked to soak up everything the roofs and pavement send it silts in years earlier than one handling only what the surface layer missed.

Downstream, by others

Detention and retention ponds, underground chambers, bioswales, water-quality units, oil/water separators and interceptors are civil and specialty scope — downstream, and by others. We supply the collection layer that feeds them. We also do not sell pumps, lift stations, septic, or treatment and recirculation equipment; a low point with no gravity outlet is a conversation with a civil engineer before it is one about parts. Roof drain bodies and interior leaders are plumbing scope: we pick the water up where the leader daylights, which is usually the exact spot the erosion complaint came from.

How water moves across a community, and how to tell the system has room

Before anyone picks a part number, get the volume roughly right. It is not hard arithmetic, and it settles most of the arguments that happen in a board meeting.

Start with what sheds. Roofs and pavement are effectively 100% impervious; turf absorbs until it doesn't, and saturated clay lawn in the third hour of a storm behaves like a parking lot. Every 1,000 sq ft of impervious surface produces about 623 gallons per inch of rain. Forty homes with 1,400 sq ft roofs is 56,000 sq ft — roughly 34,900 gallons in a 1 in. storm — before a single driveway, walk or clubhouse lot is counted. Two acres of pavement adds about 54,000 gallons per inch on top.

Then convert to rate, because channels and pipes are sized by rate: 1 inch per hour on one acre is roughly 1 cubic foot per second, about 449 gallons per minute. A three-acre community core under a 2 in./hr cell moves near 6 cfs, and it arrives inside twenty minutes rather than spread across the day.

Then follow it. Water sheets off roofs and pavement, concentrates where two slopes meet, runs the gutter line or swale, and pools at the lowest point it can reach. That low point is where a basin goes; the concentration line is where a channel goes. The most common design error we see on communities is a channel set partway down a slope, where water still has enough speed to skip the grate, instead of at the toe where it stops.

Then check the outlet, because the outlet is the bottleneck. The channel almost never limits the system; the pipe leaving it does. Solid drain pipe wants consistent fall — 1/8" to 1/4" per foot — and a 4" line carrying what a 6" line should is the real reason most "clogged" community drains back up. Walk the property once with a tape measure and a phone

The most useful hour a manager can spend before ordering. Walk every zone and record four things per item: what it is, what size, what color, how many. Pull one grate of each type, photograph the underside where the part number is molded, and flag the cracked ones, the missing ones, the ones sitting proud where a mower catches them, and the basins that vanished under fifteen years of mulch. Two things worth knowing before the board asks. Mini channel bodies, couplings and end caps come in Gray and Sand only, so a run needing new channel under a White grate is matched at the grate. And after twenty years of UV a new Gray grate reads a shade lighter for a season — if that matters at the entry monument or the pool gate, replace the whole run, not one section.

Where each product type earns its place on a community

Small channel — walks, courtyards, deck perimeters. Mini, Slim and Micro channel intercept a line of water across a pedestrian surface without cutting a 6" trench through a finished walk. On an accessible route the top matters more than the body: openings limited to 1/2" in the direction of travel, elongated slots perpendicular to the path. Basins — low points, and the end of every channel run. Catch basins collect at a point and, just as importantly, give you a serviceable cleanout. Every channel run should terminate in one; a channel piped straight into a buried tee is a run nobody can maintain. Catch basin kits are the efficient buy when a property needs complete assemblies rather than loose parts — a 9" kit stands 10-1/8" tall, a 12" kit 12-15/16".

Grates — matched by finish, specified by load. Take the top from the grate catalog rather than an application page: channel grates by system, cast iron and ductile iron where vehicles or heavy mowers cross, galvanized steel in service areas, atrium grates in beds and turf where leaf litter blinds a flat grate, square and round grates on basins, decorative grates at an entry monument. And while the crew is out there, valve boxes and lids ride on the same order — matching lid color to the drainage hardware is a five-dollar decision that makes a property look maintained.

The community order, line by line

What we would put on an association's consolidated order, typed by the job each line does rather than by brand. Quantities come from the walk, load class from the traffic, channel width from the calculator.

The like-for-like re-grate

Highest quantity on most orders · drives, aprons, walks

The bulk line: broken, faded, stolen and mower-clipped grates replaced in the original finish across the whole property in one shot. On a 1990s–2010s community that is nearly always Spee-D (24" × 4-1/8") or Mini (3-1/2" body). Buy 10–15% over the count and shelve the spares, so the next broken grate gets replaced that week, in the right color, without a purchase approval. Grates from one order also weather together, which one-off buying never does.

The basin that disappeared under the mulch

Riser and grate, ordered as a pair · turf and bed areas

We ship more risers to associations than to any other kind of customer, and it is the line managers under-order every time. Grade creeps up around a basin over twenty years — mulch, topdressing, resodding, settling — and a 9" or 12" basin two inches under mulch is not clogged, it is invisible, and it gets reported as a wet spot rather than as a drain. Order the riser (#916 for 9", #1216 for 12", #1816 for the 18", the #2418 extension for 24", #101R for a Spee-D basin) with a fresh grate every time.

The metal upgrade where the mower and the service truck cross

Plastic grates are right for pedestrian surfaces and wrong anywhere a zero-turn, a maintenance pickup or a refuse truck tracks over them — and somebody on your property has already found those spots the expensive way. Swap them to cast iron or ductile iron. It is usually a handful of grates on a whole community, so upgrade by location instead of standardizing metal everywhere and spending the budget on walkways that will never see a wheel.

The one-run fix for the chronic complaint

The spot that floods every storm · new cut-in

Every community has one: the walk that ponds, the garage row that sheets, the courtyard that drains toward a unit door. Stop patching it. A 5" Pro Series run cut across the flow path, encased in concrete and piped to a basin ends it — a stocked 5" kit is 39.5" long, 5-1/2" wide and 4-3/4" deep with channel, two grates, an end outlet and an end cap, so short runs assemble from kits. Narrow situations step down to the 3" Pro Series. Size the outlet pipe from the calculator, not from what is already in the ground.

The amenity-deck line item

Pool deck · coping line · clubhouse hardscape

Pool decks are their own discipline: a low-profile deck drain along the coping line that a bare foot can cross, in a finish that reads as part of the deck. Stegmeier Frontier and Flowmaster are what we spec here, and replacement tops are a routine association purchase because sunscreen, chlorine and UV are hard on them. Buy them before the season opens, not during it.

The entry drive and gate approach

Class C–D · pre-sloped · the run everybody sees

Dura-Slope carries a built-in fall — 4 ft sections, 6" wide, inner depth stepping from about 4" to 12" across a run at a 0.7% pre-slope — so a long, dead-flat entry still moves water without shimming every section. Grate options run well past residential ratings: take the top from the Dura-Slope grate range and rate it for the trucks, not the cars. Engineered entry and drive-lane systems Quote only

When an engineer stamps the entry, when the drive lane carries refuse and fire apparatus, or when a larger property needs a system rather than a run, we go to ACO. KlassikDrain K100–K300 (including the KS stainless-edge rails), PowerDrain S100K–S300K and MiniKlassik K50 are configured and quoted per project rather than sold from the cart. Send run length, load class, invert depths and outlet locations and we quote it with the cut sheets a submittal package needs.

The discharge end nobody budgets for

Turf outlets · dry wells · fittings

Collection is half a system, and the half that gets funded. Pop-up emitters (3"/4" #420 and #421, 6" #620, or #625 packaged with a Spee-D basin) return water to grade in common turf and close flush so a mower crosses without catching. Dry wells handle the low corner with nowhere to daylight. Add the fittings to the same order — adapters, outlets and plugs consume install day, and they are the cheapest lines on the quote.

Buying it as one order instead of nine work orders

Send a zone list, not a wish list. Entry drive, spine road, resident drives, walks and courtyards, pool deck, dumpster pad, turf low points. For each: what is there, the count, the finish, and the load class if vehicles cross. Photos of one grate per type beat any written description. We come back within one business day with part numbers, quantities and pricing, itemized by zone.

Ask for it split by zone. When the total lands above the reserve line, a zoned quote lets a board defer the guest-lot phase without anyone quietly substituting a cheaper grate at the pool gate — the substitution we see attempted most, and the one that generates the next complaint.

Know which lines ship and which get quoted. Stocked NDS, Stegmeier and Filcoten items ship as ordered; the ACO lines are quote-only and configured per project, so start those weeks ahead of an install window rather than the week of it.

Order the spares, and sort out receiving. A 10–15% overage on grates plus a couple of risers on the maintenance shelf turns a two-week work order into an afternoon, and protects the color match because the spares came off the same run. Confirm who is on site to take a pallet, and give us the maintenance yard address rather than a clubhouse locked at 3 p.m.

What boards and managers ask us

How do we find out which channel drain and grate the community already has?

Pull one grate and measure it. An NDS Spee-D channel grate is 24 in. long, 4-1/8 in. wide and 3/4 in. thick. An NDS Mini grate sits in a body 3-1/2 in. wide and 3-1/8 in. deep, sold in 6 ft and 3 ft lengths. A 9 in. square catch basin grate is 8-7/8 in. square. The part number is usually molded into the underside, so photograph that and send it to us with a count.

Can we still get replacement grates in the community's original color?

Usually. The NDS Mini and Spee-D grate families both run White, Gray, Green, Black, Sand and Brick Red, and the decorative Botanical and Wave tops come in Black, Gray, Green and Sand. Mini channel bodies, couplings and end caps are Gray and Sand only, so a run needing new body sections under a White grate is matched at the grate. After twenty years of UV, a new grate reads a shade lighter for a season.

What load class should the entry drive and gate approach be?

Class C 250 under EN 1433 covers an entry that sees cars, pickups and an occasional box truck. Go to Class D 400, a 400 kN test load, where the entry is also the fire lane and the trash truck route, which on most communities it is. US drawings often speak AASHTO instead, where H-20 is a 16,000 lb wheel load and HS-25 is 20,000 lb. Treat that crossover as a shop heuristic rather than a formal equivalence.

Our catch basins have sunk below grade or vanished under mulch. What do we order?

A riser and a grate, as a pair. NDS makes a 9 in. riser (#916), a 12 in. riser (#1216), a riser for the 18 in. basin (#1816), a 24 in. extension (#2418) and a Spee-D basin riser (#101R) standing 7-3/4 in. tall. Reset the grate flush with the grade the landscape crew actually maintains, and put the mulch clearance in their scope in writing. Most basins we get asked about are not clogged, they are buried.
